Welcome to the Emerald Forest Hotel!
This is the homepage of your simulation in Karlsruhe called 19DE, February 2017. English is meant as a way of communication so the texts might not always totally correct. But do you see real big mistakes on this platform? Please tell us. All of the content of the simulation is in English. English is used for all of your communication: on websites, social media (Instagram, Twitter, your own page), events, campaigns we strongly encourage this.
Run the Emerald Forest Hotel
You all take over the Emerald Forest Hotel as a management team. You have to run your hotel, trying to do better then has been done in the past. Last years decisions and results are available as a point of reference. The hotels are located in your own country in two fictitious cities called Amstelburg and Budano. Your city consists of 8 hotels. Your direct or main competitors are the teams/hotels in your city. This platform is where you can find documentation on many elements linked to your hotel, so use it for instance the many info pages. The platform is read only to all teams. All direct communication during the simulation will be done via the Facebook group 19DE: so join as soon as possible! But your will also find the hotel and it's owner on many other (social) platforms. It's an important task to get a grip on all this information and communication.
You manage the hotel by:
- making decisions on prices, decisions on expenses;
- explaining why and how you do things;
- running your communications, your website and social media in a proper way;
- live-actions during the game.
All of this is evaluated each playing round by the coaches, in assessing your creativity and entrepreneurship. These two elements, combined with your decisions, the activities of your competitors and some other elements like the demand in the market, are used to calculate the results of your hotel. You will recognise this in the occupation rate of your hotel, the profit, lots of ratio's, and a complete operating review.
To get grip on things we split up your managing the hotel in a number of tasks, which you will do in the (four) 'years' you manage the hotel.
This platform contains all the information about the hotel and other game elements: you can navigate to the information needed. All blue links are clickable and will bring you to another page inside of this platform. For instance clicking on Photos and videos will jump to this page with photos and videos of the hotel. All blue links with a small arrow will open a new tab in your browser with an internet site outside of this platform: for instance hospitality trends 2016 or more hotel trends in 2016 or download the AF&CO Trendreport 2016 (will take a minute).
Use real sources in all your decisions, like:
- hospitality report Deloitte 2015 or an interesting page as well: real statistics of hotels in Europe.
- Very interesting site with loads of information on hospitality and hotels: HTrends
- Local information, as your hotel is located in the country you are in.
- An indication for costs on inventory etc. is the file estimating hotel costs. Do not focus to much on details: it does give you some indication on what costs might be. Try to be realistic, but as in reality 'how much does it cost' depend on so many things and is not easy to answer. And don't be penny-wise and pound foolish! And in all decisions skip all decimals for sure.
The navigation left-hand site will always stay active: and you can use back in your browser. The search box top right-hand corner works very well if you look for any information. Just type in the most logical word. Rather use Search then Go for better results, just try. Look for specific words and there might be a page on this. Or try info pages from the left-hand menu. By now there is 3,964 pages in this platform, so if you're new, follow the steps and tasks explained below, preventing you from getting lost.
Your tasks
So what to do first? Do the tasks underneath step by step.
In time the simulation is divided in three parts:
- tasks to be done before and in week 6;
- tasks to be done during week 6;
- and tasks after the final.
Tasks to be done before week 6
- Task 1: Classes
Visit the kick-off with your coach and the other hotels in your city. This is essential and compulsory.
You will receive team information regarding the game:
- the teammembers with whom you will be the management of the hotel. The sooner you meet, the better.
- the teamnumber of your hotel. This will look like 19DE-A01:
- so your competition is the 19th competition in Karlsruhe. Your team number for instance A01
- so your hotel is located in a city starting with letter A, which is the fictitious city of Amstelburg, B stands for Budano.
- your hotel is hotel number 01 (out of eight hotels in your city, which are your competitors).
- you'll get a link. With this link you go to your hotels' so called Team file. This is the place where you present the new plans of your hotel This link will look like https://goo.gl/L4cABC and is case sensitive.
This is the only link you will get: keep it private and secret! Inside this Team file, which you will be able to access via this link, you can also open your private financial information in a Team Finances spreadsheet.
The example shows what that paper you will get with this link, will look like:
With this information you get from your university which tells you your team members, you can start meeting with your team, dividing the tasks, checking out this platform etc. Make sure you have your team well organised and the tasks well divided.
- Task 2: Meet with your team members
Plan meetings with your team to make preparations and plans for who is going to do what. The teams are made randomly, so this is important. Managing a hotel is having your team and hotel well organised. So try to work together on a professional basis, but do keep everybody to his/her tasks. If a persons doesn't show up or doesn't perform as required act immediately!
- Task 3: Study E-manual
Study this 19DE E-manual: here you will find what you need to read before taking any action.
- Task 4: Join the Facebook group
Go to Facebook group 19DE and request to join the group. You can join with more members, or even with a (personal) hotel page in (though officially not allowed).
- Task 5: First actions
Then have a look at your Team file which is in Google Docs, via the secret link you received.
All team members can login using this link: multiple users at the same time with the same link is no problem. To read the content of this platform you don't need to login at all, by the way. If you look for information on any subject you can search with the search box top-right-hand corner: click the GO-button for a special page on the searched-for item, or use the Search button which will show all pages where the search item is mentioned. No answer found? Use the group or ask your coaches.
- Task 6: Thinking strategic choices over
After reading, discuss your strategic plans with regard to the hotel and come to a conclusion. Have a look at the demo Team file example. Then start filling out your own Team file. Also check your Team finances sheet using the hyperlink on the first page in your Team file and fill out your chosen hotelname in the Team finances sheet (cel B1)! You will have supporting courses in this week: but this part is mainly something you do on your own.
During week 4, the game days: the 2nd, 3th and 4th of November
On the page 18UK Tasks and decisions you can find all tasks which are to be done during the game week, day by day.

Your tasks before the game week starts, so before 1st of February
First check in six minutes the main explanation of all of the elements in this simulation :
You will receive team information from your coaches on:
- the teamnumber of your hotel, which is also the username (login name) on this platform. This will look like 15DE-A02:
- so your competition (15DE is the 15th competition in Karlsruhe Germany -DE-) your team number A02
- so your hotel is located in a city starting with letter A, which is the city of Amstelburg of B which is Budano.
- Your hotel is hotel number 02 (out of ten hotels, which are all your competitors).
- you'll get a team password for editing your hotels' teampage on this platform. This password will look like ve7r99 and is case sensitive. You will get this probably on 01/02. But without you already can do a lot of preparations.
- you'll also get a (secret) hyperlink to your teams private sheet where you make your decisions and can see your own results. You will get this probably on 01/02. But without you already can do a lot of preparations. This link will look like: http://www.emeraldforesthotel.com/ve7r99
The example shows the team information from a finished competition in Latvia:
With this information you can start meeting with your team, dividing the tasks, checking out this platform etc. Make sure you have your team well organised and the tasks well divided.
Week 5: before the game week starts these next tasks must have been finished
- Task 1: Meet with your team members
Plan meetings with your team to make preparations and plans for who is going to do what. Managing a hotel is having your team and hotel well organized.
So you are joining with your team, nice! Check the video with explanations on your competition:
- Task 2: Study E-manual
Study this E-manual: here you will find what you need to read before taking any action.
Login with your username, go to the top right-hand corner of this page, click "My Preferences" scroll a bit down until you see E-mail, E-mail options. Change this e-mail address in a real e-mail address of one of your team members and use the save button at the bottom. This e-mail might comes handy in some cases. Do not change the password or anything else in this section.
All team members can login using the same username: multiple users at the same time with the same username is no problem. To just read the content of this platform you don't need to login at all, by the way (only if you want to edit). If you look for information on any subject you can search with the searchbox top-righthand corner: click the GO-button for a special page on the searched-for item, or use the Search button which will show all pages where the search item is mentioned. No answer found? Ask your coaches.
- Task 3: First actions
After reading, discuss your strategic plans with regard to the hotel and come to a conclusion. First have a look at the example 15DE Example teampage. Then thinking of how to fill out your own teampage: this has to be ready entirely on Monday the 1th. Also check your private teamsheet using your secret hyperlink and fill out your chosen hotelname in the teamsheet there (cel B1) as soon as you have the inlogcodes! From time to time you might see that we have changed-helped you on lay-out or outlining. If important we will mark this for instance with: Changed as help by one of your coaches. You can delete this message by removing the tag coachhelp in the edit section of this page. You can use the Sandbox to practice some editing needed on your teampage.
A short instruction video on how to edit the teampage of your hotel in the Emerald Forest Hotel platform. This video is a bit longer, like 10 minutes. But you can skip things or scroll forwards. Open the video (which is on this platform) in a new browsertab: Help on editing your teampage. It takes some time to get grip on this editing, it is not WYSIWYG but, very, very stable. And, don't worry, editing your teampage is the only thing which might annoy you because of the unfriendly way it works. All other elements of this simulation are done in Facebook, Google docs and other platforms which are probably much more logical and user friendly :-)
- Task 4: Prepare Trade Fair
In the game week, your hotel will be presenting itself at a Trade Fair on Tuesday. So think this over well in time and prepare for the Trade Fair: check this page for more information. This is an important fair, one which will influence your success in the game.
This offers you the opportunity to present your (new ideas on the) hotel. Be creative, and have a look at the pictures of Trade Fairs from other competitions. All team members must participate in the Trade Fair.
To make your appearance at the Trade Fair as useful as possible, your preparations on your teampage must be ready as far as possible (new logo, slogan, introduction of new management). So start thinking about this before the gameweek when things get hectic.
Tasks during the game-week: 1th. February - 5th. February
- Task 5 to 10
On the page 15DE Tasks and decisions you can find all tasks which are to be done during the game week, day by day.
