Your plans with the Hotel

Presenting your management team to Jill, Christina and your coaches. You will have to take a lot of important decisions in this preparation round. This will be the basic for all of the other assignments and decisions.

Situation

You just took over the management of the hotel. You need to take decisions on the hotel itself and on how to run your own management team. That is exactly what you will do in this assignment. This will be the capstone to your team, in all the four rounds. You now focus on the new name, strategy, target groups etc.

Goal

Set up a basic strategy for your hotel. It is important that in all other decisions, over the years, you stick to these plans.

Deliverable

See your Team document, tab Preparations. Fill out the section as indicated:

  • Fill out your given Team Number
  • Think of an appropriate name for your hotel: very important explain why you chose this name. Make the link to your strategy. Check the internet to see what pops-up using this name e.g.
  • Give the full names of all the management team members and assign a role to each of them. If your team has less than five persons, some of you will have a double role. This doesn't affect your workload in the game.
  • Provide a 06 number as the contact number of your team (preferably of the General Manager). We will use this in a WhatsApp support group during the game. In this group you will get instructions on how and when to contact e.g.
  • Join the Facebook group. Go to Facebook group 31NL and request to join the group. You can join with a personal or hotel page. Facebook pages now can join groups.
  • Make a Facebook (business) page for your hotel. Explain what exactly the goals are with this page. Be specific, give numbers etc. In assignment 2.1 will specifically have an assignment on this. For now, just be sure to have created the account.
  • The 2nd Social media channel is part of the assignment 2.1. No need to fill that out yet.
  • Make a Management Team contract. You can either put it in your Team File or post it anywhere online and put a link here. Check if the link works! On LMS there is an example of this.
  • Decide on the strategy of your hotel: explain in approx. 10 lines. Have clear and measurable goals. Look at the history size and operating review of the hotel, to be sure not to come up with really impossible totally unrealistic ideas. Use the right concept (theory) from marketing.
  • Decide on the target groups or markets of your hotel: explain in approx. 10 lines. This should be in line with our strategy of course. Use the right concept (theory) from marketing.

Decisions on prices and costs year 01

Check the page Decisions. During three years you have to take a number of decisions

  • on prices (five decisions)
  • on costs to be made (five other decisions)

Situation

On the page operating review you can see how the Emerald Forest has been managed in the past. You take over the hotel and have already chosen a new strategy. Now you choose the prices (five of them) which will bring revenues and the costs you are going to make on five specific choices. All choices and boundaries are explained on the page decisions. You will make all these decisions now for this year. After having seen the results from this year you decide on the new 'amounts' in year 2 and 3.

Goal

Making decisions which fit-in with your new strategy and which will keep the Bergman's as well as the customer satisfied. Regarding the costs: all of the five cost groups have not been used in the history: all of these costs will be additional to the existing fixed and variable costs. Be careful to have a balance between the total of the (new) costs, the prices and your strategy. In the end, the idea is that you keep the profit on the level that the hotel used to have.

Deliverable

Fill out all of the ten decisions in your Team File.
The most important thing is the arguments you give in your Team File, underneath every decision. Why did you choose them? Try to find benchmarks, put URL or links in, make basic calculations, try to predict the outcome of your decisions.
Especially looking at the costs: these are going to be additional:

  • exactly what are you going to spend the money on? and,
  • what do you think it will bring your hotel? Be concrete, also calculate.

This is the first year, so you just have the history and explanations on this platform to look at.

This gives you an impression what a complete Team File, after the preparations and four years, with results and comments could look like. By no means is this the perfect team: it is just any team. Each Game is a bit different: yours holds 4 rounds: a preparation round and three consecutive years (the example holds 'Preparation' and four years, so one more then your competition).

  • Are all choices made and within the boundaries set?
  • Is there a clear link to the strategy?
  • Are the arguments valid?
  • Is it clear what the costs are spend on exactly?
  • Are there basic calculations done to show the effect of the choices at each choice?

Management issue

As in reality, unexpected things will always occur: sometimes for the good, sometimes for the bad. As management you have to be prepared, but even more important, you must act. All eyes will be on the management team concerning steps to be taken.

Situation

Now there is a special event taking place: what it exactly is you will hear in due time. There is no road map on what to do and how to act. The situation is urgent and demands for steps to be taken immediately. Your coach will inform you on this in the city meeting (so don't look for any info right now).

Goal

Solving the problem. Making sure it never happens again. Secondly making sure everybody is rightly informed (and safe). Thirdly: minimizing the 'damage' for the customers but also or your enterprise.

Task, deliverable

Make a plan how to handle the situation. Write an extensive document on this (3-4 pages), upload it somewhere in the cloud. Elements that should be in:

  • solving the situation right now
  • who is responsible for which tasks
  • how to communicate to all target groups
  • do a first reaction in the Facebook group (do a screen copy in your event-document)
  • assessing the damage of the situation (costs)
  • preventing the situation in the future (costs?)

All of this together should be a plan.

  • How quick and realistic was the response?
  • Is it clear what the total of the plan is?
  • Are all stakeholders been contacted?
  • Are the costs somehow realistic?

Handing in

Upload your work anywhere in the cloud (Dropbox e.g.: do not e-mail) and:

  • Be sure that it is pubic
  • Be sure anyone with a link can access it without any login (!)
  • Copy the link (only the link, not the document or content) and put it in your Team File before the deadline. Tab Decisions, E47: 'Extra information for your coach'. Furthermore, all other relevant information for your coach is welcome in this cell as well!
